2. Website visits
This site is hosted and delivered through Cloudflare Pages. Cloudflare may process technical data such as IP address, request time, requested page, referrer, browser/device information and security events to deliver and protect the site. We use this information for site delivery, stability, abuse prevention and security.
The legal basis is Article 6(1)(f) GDPR: our legitimate interest in providing a secure and functional website. Cloudflare's privacy information is available at cloudflare.com/privacypolicy.
We also load a Google Ads measurement tag (Google tag ID AW-18406643186) to understand visits arriving from our paid advertising and to support measurement of the landing page. It can receive the page URL, referrer, timestamp and browser/device or advertising metadata. We do not put enquiry names, telephone numbers, messages, dates or other form contents into advertising identifiers, and we do not currently create remarketing audiences from this site.
For the restricted, no-storage measurement currently configured, we rely on our legitimate interest in understanding whether paid traffic reaches this page where applicable law permits that approach. The tag is configured with Google Consent Mode defaults that deny ad storage, analytics storage, ad user data and ad personalisation. This static site currently has no consent-choice interface, so we do not enable those storage or personalisation functions. Do not treat the tag as a consent substitute; we will request consent before enabling optional storage, personalised advertising, remarketing or enhanced conversions. Google may process technical data outside the European Economic Area; see Google's privacy policy and Google Ads settings.
3. Enquiries
When you submit an enquiry, we process the information you provide: name, organisation (if provided), email address, telephone or WhatsApp number (if provided), country or market, group type, approximate group size, preferred year, date or dates, sitting-time preference, expected number of tables and any additional message.
We use this information to receive, assess and respond to your requested group enquiry. The legal basis is Article 6(1)(b) GDPR where processing is necessary for requested pre-contractual steps and Article 6(1)(f) GDPR for our legitimate interest in responding to genuine group enquiries and operating the service. Required fields are limited to the information needed to assess the enquiry.
Please do not include passport details, payment-card information, health information or other sensitive personal information. No payment is taken on this website and an enquiry does not create a reservation.
4. Form and email processing
Enquiries are submitted through Google Forms and stored in the linked Google Sheet. Dr. B. Hoyle administers the form and response sheet; access is limited to Dr. B. Hoyle for the purpose of handling enquiries.
Emails sent to enquiries@oktoberfestgrouptables.com are received through Cloudflare Email Routing and forwarded to a Gmail inbox administered by Dr. B. Hoyle for the purpose of handling enquiries.
Cloudflare and Google may process personal data outside the European Economic Area. Their privacy information is available at cloudflare.com/privacypolicy and policies.google.com/privacy. We use Google Forms, Sheets and Gmail only for enquiry transmission, response storage and follow-up.
5. Independent providers and data sharing
Your initial enquiry is not automatically forwarded to an independent provider. If a potentially relevant provider is identified, we will first tell you its identity, explain the data proposed for sharing and ask for your specific affirmative approval. We do not share your enquiry for unrelated purposes.
Any independent provider acts under its own identity and terms for availability, offers, reservations, contracts, payments and fulfilment.
6. Retention
Inactive enquiries are deleted within six months after the last substantive contact. This applies to the Google response record and working copies used for follow-up, subject to limited backup retention that cannot be selectively removed immediately.
7. Your rights
For the form data you submit—name, contact details, organisation, country or market, group size, dates, timing, table needs and message—you can ask to see, correct, delete or limit our use of it, object to its use, or receive a portable copy where applicable. Use the details above.
You may complain to the Bavarian data-protection authority or your local authority.
8. Changes
We may update this notice if the enquiry process or service providers change. The date above shows when this version was last updated.
